Data Load - FAQ
What time does my data load into Avero?
Avero loads the previous business day's data when it is received, within about two hours. Different POS Systems have different methods of sending data.
- If you have an on-premise system (an on-site server, such as Aloha or Micros 3700): When installed you informed us what time your POS processes your End-of-Day. Avero extraction is usually set about 1 hour after EOD processing. EOD processing is usually set a couple hours after your venue's latest operating hours to provide a grace period and allow for any extra late nights or service delays.
- If you have an export set up: Your POS provider likely selected an export time for you. You can inquire with the POS provider to see when they normally send data to Avero for your site.
- If you have a cloud POS: These systems usually send us the data shortly after End of Day is processed.
How can I check when my data should be expected?
When scheduling an automated email report for a single location, the system will estimate your average load time, but note that this time is not your scheduled data load time but an average. This will only show when setting an email for a single unit, it will not appear for Group reports (because there would be multiple times) or Logbook emails.
Can I change when my data loads?
Because data load is part of a sequence of events that needs to occur daily, moving extraction times may have larger impacts, thus we don't recommend moving the time unless there is a problem with the load time that is causing other errors. If you have an export set up you can request your POS processor to change the time of the export. Otherwise, open a ticket to see if moving your load time is a possibility and be sure to include why you would like to move your load time.
Will I be notified if data is missing?
Enable the Special Role of Data Notify to receive alerts when our system expects data but doesn't receive it. The emailed alert will include links to report a day of closed business (outside your normal operating hours, provided when installing), recover the missing data on demand, or open a ticket to recover the missing data.
To recover missing data on-demand, follow these instructions: Missing / Incorrect Data
How far back does my data go?
Usually, about 3 months before you signed up for Avero.
Avero houses your data for the length of your subscription, even if you change POS systems!
We have years of data that aren't in Avero - Can I import more data history to Avero?
It depends! It depends on how far back you are looking to go and what type of system you are using. We generally can't go back more than 1-1.5 years so very old data is not available. Some POS systems archive the data and it is easy for us to extract it just as we do daily data. Some POS systems preserve memory by changing or removing the old data regularly. Open a ticket with support to request additional data.
If the data is available to us and within 18 months, open a ticket with support to find out your options. Fees may apply.
If I make change to my POS configuration, like changing an item or category name, does that update my past data or only moving forward?
Avero loads your data daily, and, once loaded, it is static in Avero meaning it doesn't change unless we reload it with new data (such as if there is a problem). This means that you can change an Item Name in your POS and you will see the item number associated with the old item name on reports before the change, the item number associated with the new name on reports moving forward, and on reports that cover before and after the name change, you will see the item number listed twice with the sales for each item name.
So if I change item 3130 Pumpkin Soup to Mushroom Soup on December 15, reports for December 1-14 will show Pumpkin Soup, reports for December 15 on will so Mushroom Soup and if I run a report for all of December I will see the sales for 3130 Pumpkin Soup and 3130 Mushroom Soup.
Categories can usually be changed the same way, but note that Categories are responsible for you item hierarchy and may not be automatically mapped to Global Categories (Food, Beverage, Retail, Other).
Changing Meal Period and Revenue Center names varies by system, some are automatically reflected and some require Avero's intervention to update.
